Description

The Administrative Assistant will provide high-level administrative support to the Chief Diversity Officer (CDO) at the New Jersey Department of Environmental Protection (NJDEP). The appointee is responsible for assisting with coordinating, organizing, and implementing diversity, equity, inclusion and belonging (DEIB) initiatives within the Department.

Specific to the Position

This role requires an individual with strong organizational skills, attention to detail, and the ability to work in a dynamic and collaborative environment.

Key Responsibilities: (Administrative Support)

- Manage and prioritize the CDO’s calendar, schedule meetings, and coordinate trip/travel arrangements.

- Maintain organized records and files, ensuring that DEIB-related documents are accessible and up to date.

- Work with our Employee Resource Groups (ERG) to schedule and organize meetings, events, and cultural celebrations related to diversity, equity, inclusion and belonging efforts.

- Take and transcribe meeting minutes and follow up on action items as necessary.

- Prepare meeting materials and agendas, ensuring all attendees are well-prepared and informed.

- Assist in coordinating internal and external communications, including email correspondence, social media updates, and newsletters.

- Collaborate with other departments and agencies to promote DEIB-related programs and initiatives.

- Assist with tracking and reporting progress on DEIB-related projects, ensuring deadlines are met and objectives are achieved.

- Help organize and support initiatives such as training sessions and events.

- Assist in compiling, analyzing, and reporting DEIB metrics and outcomes data.

- Prepare and edit correspondence, presentations, reports, and documents related to DEIB initiatives.

- Maintain and update internal databases that track DEIB programs and participant information.

- Handle confidential information with discretion and professionalism.

- Perform other duties as assigned by the Chief Diversity Officer.

Preferred Skill Set

Excellent organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other office productivity tools. Ability to work independently and as part of a team, demonstrating flexibility and a proactive approach. Familiarity with DEI terminology and practices, and experience supporting diversity, equity, and inclusion initiatives is a plus.

Requirements

Applicants must meet one of the following or a combination of both experience and education. Thirty (30) semester hour credits are equivalent to one (1) year of relevant experience.

Four (4) years of professional experience in administrative support, or a role specific to the position.

OR

Graduation from an accredited college or university with a bachelor's degree in business administration, public administration, or a related field.
