About the Role

  • The Development & Construction Coordinator reports to the Chief Development Officer and is responsible for providing project administrative support for the team including Chief Construction Officer, Development Directors and Construction Managers. The Development and Construction Coordinator will have a working knowledge of all active development projects and will be responsible for managing project administration, construction draw and invoice processing, budgeting, and coordination with internal teams and external partners to ensure projects stay on track and run smoothly. This role also serves as a liaison between Development, Construction, Accounting and Finance departments to streamline communication and project execution. This role requires excellent organizational and communication skills, attention to detail, and the ability to multitask in a fast-paced construction environment.

Key Responsibilities

Project Finance & Draw Coordination

  • Prepare and submit monthly construction draw packages, including compiling contractor and consultant invoices, backup documentation, lien waivers, and lender-specific requisition forms.
  • Coordinate with construction managers, accounting, and lenders to ensure timely funding and payment disbursement.
  • Track payment status, resolve discrepancies, and maintain accurate draw logs and documentation.
  • Track project budgets, process change orders, and update cost reports.
  • Qualify, review, and process project invoices and contractor pay apps to ensure appropriate approvals, support documents and adherence to agreements are in place.
  • Support development directors and construction managers in maintaining accurate project cost data and generating financial reports as needed.

Contract Administration

  • Assist with preparing and reviewing contract agreements and processing change orders.
  • Ensure timely execution of consultant and contractor agreements; manage tracking logs for insurance and contractual deliverables.
  • Process and track certificates of insurance for contractors.
  • Supports project management with project deliverables, such as electronically processing various documents (such as pay applications, bills of sale, compliance documentation, and change documentation).

Documentation Control & Compliance

  • Create, organize, and maintain project files, including contracts, plans, specifications, permits, and correspondence, ensuring easy retrieval and compliance with document control procedures.
  • Prepare vital materials as needed to facilitate the project workflow.
  • Construction Drawing Management

Platform Support

  • Support the Chief Development Officer on platform initiatives, core process and FBA compliance.
  • Coordinate weekly team EOS meetings and monthly project reporting, distribution, and presentation scheduling.
  • Manage department templates and file controls including Monday.com project workflows and RACI templates.

Required Skills/Abili ti es:

  • Proven experience in construction administration, project coordination, or a similar role.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines concurrently.
  • Excellent verbal and written communication skills to interact effectively with project stakeholders.
  • Proficiency in using Microsoft Office Suite, especially Excel.
  • Proficiency in Yardi.
  • Proficiency in Bluebeam.
  • Knowledge of construction industry practices, procedures, and terminology.
  • Familiarity with contract administration, budget tracking, and financial reporting.
  • Attention to detail and accuracy in managing project documentation and financial records.
  • Ability to work collaboratively in a team environment while also being self-motivated and independent.

Educa ti on and Experience:

  • Minimum 5 years of experience in real estate development, construction, or project administration.
  • Experience with Yardi or similar accounting platforms.
  • Experience processing construction draws and working with lender requisitions.
  • Familiarity with AIA forms (G701/G703) and draw review process.
