Job Description

Insight Global is seeking a permanent Executive Administrative Assistant to join one of our growing client’s team in Waunakee, WI. Our client is a small, family-owned general contracting firm who specialize in mission-critical live environment retrofits and tenant fit-outs, primarily focusing on data centers. Their team is dedicated to delivering high-quality projects with precision and care, ensuring minimal disruption to our clients' operations. We are seeking a highly organized and proactive Executive Assistant to support our COO and Owner. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently, ideally with some experience working for a general contractor/construction experience. This role requires a high level of confidentiality, discretion, ability to work independently as well as be onsite 5 days a week. Other responsibilities include:

  • Provide comprehensive administrative support to the COO and Owner, including managing calendars, scheduling meetings, and handling correspondence.
  • Serve as the primary point of contact for internal and external communications, including phone calls, emails, and visitors.
  • Prepare, edit, and maintain documents, reports, and presentations.
  • Ensure all documentation is accurate and up-to-date.
  • Assist in coordinating and tracking project timelines, deliverables, and milestones.
  • Liaise with project teams to ensure smooth execution of tasks.
  • Organize and coordinate company events, meetings, and conferences.
  • Manage travel plans, including booking flights, accommodations, and transportation for the COO and Owner.
  • Handle sensitive information with the utmost discretion and maintain confidentiality at all times.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant or Administrative Assistant
  • Experience supporting Construction, Engineering, General Contractor, or similar teams

Salary Range: $70,000-$90,000 (flexible based on qualifications)

Hours: Monday-Friday, 8:00am-5:00pm (fully onsite position)

Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
