POSITION OVERVIEW

We are seeking an experienced Office Administrator to oversee daily operations in our Denver office . This role is responsible for managing administrative functions, supporting attorneys and legal staff, and ensuring a positive and efficient workplace environment. Acting as a liaison between the office and corporate support departments (HR, IT, Operations, Finance & Marketing), the Office Administrator plays a key role in maintaining office culture and operations.

This position reports to the Managing Partner of the office, with additional coordination across leadership.

KEY RESPONSIBILITIES

  • Serve as the main point of contact for all administrative support needs, ensuring seamless communication between attorneys, staff, and corporate departments.
  • Facilitate new hire onboarding, workstation setup, and integration into office protocols.
  • Supervise, train, and evaluate non-attorney staff; oversee performance reviews, coaching, hiring, and disciplinary actions as needed.
  • Manage office attendance, paid time off, and work-from-home policies.
  • Assist with recruiting efforts by coordinating interviews, reviewing resumes, and supporting hiring managers.
  • Plan and execute office events to promote a positive workplace culture.
  • Act as a resource for legal software and technology platforms, providing ongoing training and troubleshooting support.
  • Coordinate office supply inventory and vendor contracts, including shipping and equipment maintenance.
  • Oversee building management interactions, addressing office maintenance needs and security access for new and departing employees.
  • Assist with space planning, office moves, and workspace layout assignments.
  • Support partners with case management and administrative needs, ensuring efficient handling of files and sensitive materials.
  • Perform additional special projects as assigned by leadership.

QUALIFICATIONS

  • Minimum 5 years of experience as an Office Manager, Firm Administrator, or similar role within a legal or professional services environment.
  • Strong proficiency in Microsoft Office 365 (Excel, Word, PowerPoint, Outlook, Teams) ; experience with Litify or similar legal case management systems preferred.
  • Excellent problem-solving skills, attention to detail, and ability to multitask in a fast-paced environment.
  • Strong leadership and communication abilities, with experience managing diverse teams.
  • Ability to handle confidential information with professionalism and discretion.
  • Flexibility and adaptability to evolving priorities and office needs.

WORK ENVIRONMENT & PHYSICAL DEMANDS

  • Primarily an indoor office setting with standard business hours.
  • Sedentary role with occasional standing, walking, and lifting (up to 20 lbs).
  • Interaction with various teams and occasional interruptions throughout the workday.
