Job Description:
The Executive Administrative Assistant is responsible for providing high-level administrative support to executive leadership, ensuring the efficient management of corporate, financial, legal, and property-related documentation. Key responsibilities include:
Corporate Support:
• Maintain and organize corporate documentation, including entity formation, filings, and compliance records.
• Assist in reviewing and managing legal documents and corporate governance materials.
Finance & Reporting:
• Support real estate finance due diligence, compiling and organizing financial documents.
• Prepare lender reporting documentation and track financial deadlines.
• Manage legal entity resolutions, certifications, and records to ensure compliance.
Property Administration:
• Assist with real estate tax appeal documentation and due diligence.
• Maintain property insurance records and assist in processing claims.
Purchase & Sale Transactions:
• Coordinate due diligence efforts for property acquisitions and dispositions.
• Analyze and track contract terms, timelines, and critical dates.
• Review, draft, and revise conveyance documents, title reports, and surveys.
Leasing & Tenant Relations:
• Assist in reviewing lease agreements and drafting lease-related documents.
• Ensure leasing records are up to date and properly documented.
Qualifications:
• Associate’s or Bachelor’s degree in Business Administration, Finance, Legal Studies, or a related field preferred.
• 2-5 years of experience in real estate transactions, corporate administration, or executive support.
• Strong understanding of corporate documentation, legal entity formation, and regulatory filings.
• Experience with financial due diligence, lender reporting, and compliance documentation.
• Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
• Excellent attention to detail, organizational skills, and ability to prioritize tasks.
• Strong written and verbal communication skills, with the ability to interact professionally with executives, legal teams, and financial institutions.
• Ability to handle confidential information with discretion and professionalism.
• Self-motivated, proactive, and capable of working both independently and as part of a team
